Participation Conditions

Participation fees

The conference offers great networking opportunities. The participation fee is payable only after your registration is approved.

Standard participation fee (including 19% VAT)		825 €
Special participation fee for students (including 19% VAT)		400 €
Should an accompanying person wish to attend the official congress dinner on June 18, 2019, an extra fee must be paid (including 19% VAT)		100 €
If your payment is not received within the payment deadlines, the latter fee will be automatically charged.

The participation fee includes:

Invitation to the Opening Ceremony
Admission to all congress sessions
Access to all networking events
Evening program (get-together & official congress dinner)
A printed copy of the congress program
Certificate of participation

Additional fees apply for participation in specific events, such as the road trips.

Payment

We only accept payment for advance registration via bank transfer. All bank charges and commissions shall be paid by the participants. Payment on site is possible only in cash.

Invoices will be sent by e-mail as a PDF attachment. Please indicate on the registration form if you wish to receive an invoice on behalf of a company or organization. An invoice addressed to a company or organization cannot otherwise be issued subsequently if the bank transfer is made by a private individual.

Cancellation policy

Registrations may be cancelled up to May 16^th, 2019 and will incur a 50 Euro administration fee. Cancellations received after the above deadline will not be eligible for a refund. In case of cancellation, please indicate your full name, address and invoice number; alternatively, you may appoint a substitute participant for no extra charge. Refunds will be credited to the original bank account used for payment.

Responsibility

The participant acknowledges that he/she has no right to lodge damage claims against the organizers should the holding of the congress be hindered or prevented by unexpected political or economic events or generally by force majeure or should the non-appearance of speakers or other reasons necessitate program changes. With registration, the participant accepts this proviso.

Visa application

As soon as we receive your conference fee, the IRC 2019 conference office will send you a binding confirmation of participation. This document can be used for visa application (if required).

Health insurance

Congress participants who require a visa to enter Germany/ EU must provide evidence of travel health insurance. There is no legal requirement for participants who do not require a visa to take out international health insurance, but such insurance ensures significant cost-savings in case of emergency.
